Terms of Service

By accessing or using BoxSafe's services, you agree to be bound by these Terms of Service and all applicable laws and regulations. If you do not agree with any of these terms, you are prohibited from using or accessing our services.

These terms apply to all users of the platform, including gym owners, coaches, administrators, and members. Additional terms may apply to specific features or services, which will be presented when you access those features.

We reserve the right to update these terms at any time. Continued use of the service after changes constitutes acceptance of the new terms. We will notify you of material changes via email or platform notification.

BoxSafe provides a health and safety management platform designed for CrossFit and functional fitness facilities. Our services include:

Core Features: Incident reporting and RIDDOR compliance, Emergency Action Plan creation and management, First aid kit tracking and equipment checks, Member health profile management, Coach communication tools.

Training Services: Online safety training modules, On-site BLS and emergency responder courses, Certification tracking and verification.

Compliance Tools: Equipment maintenance logs, Fire drill documentation, Safety audit support.

Services are provided on a subscription basis with different tiers offering varying feature sets. The specific features available to you depend on your subscription plan and your role within your organisation.

Account Creation: To use BoxSafe, you must create an account with accurate and complete information. You are responsible for maintaining the confidentiality of your login credentials and for all activities under your account.

Gym Administrators: Gym owners and administrators are responsible for managing user access within their organisation, ensuring appropriate use of the platform, and maintaining accurate member information.

Data Accuracy: You agree to provide accurate health and safety information. Inaccurate emergency contact details or medical information could compromise safety outcomes. BoxSafe is not liable for issues arising from inaccurate user-provided data.

Acceptable Use: You agree not to use BoxSafe to violate any laws, infringe on others' rights, transmit harmful content, attempt to gain unauthorized access, or interfere with the platform's operation.

Subscription Fees: BoxSafe services are provided on a monthly or annual subscription basis. Prices are listed in GBP and may vary by plan and features selected.

Billing Cycle: Subscriptions are billed in advance on a recurring basis. Monthly subscriptions are billed every 30 days; annual subscriptions are billed every 365 days.

Payment Methods: We accept major credit cards, debit cards, and bank transfers for annual plans. All payments are processed securely through our payment partners.

Price Changes: We may modify our pricing with 30 days notice. Price changes will not affect current billing cycles but will apply to subsequent renewals.

Refunds: Monthly subscriptions may be cancelled at any time but are non-refundable for the current billing period. Annual subscriptions may be eligible for pro-rata refunds within the first 30 days.

Platform Purpose: BoxSafe is a tool to support health and safety management. It does not replace professional medical advice, emergency services, or qualified safety professionals.

No Medical Advice: Information provided through BoxSafe, including training content and health resources, is for educational purposes only and should not be considered medical advice.

Emergency Situations: In any emergency, users should contact emergency services (999) immediately. BoxSafe's tools are designed to support, not replace, proper emergency response procedures.

Limitation: To the maximum extent permitted by law, BoxSafe shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or goodwill, arising from your use of our services.

Maximum Liability: Our total liability for any claims arising from these terms or your use of BoxSafe shall not exceed the amount you paid us in the 12 months preceding the claim.

By You: You may cancel your subscription at any time through your account settings or by contacting support. Cancellation takes effect at the end of your current billing period.

By Us: We may suspend or terminate your access to BoxSafe immediately, without prior notice, if you breach these terms, fail to pay subscription fees, or engage in conduct that we determine is harmful to other users or the platform.

Effect of Termination: Upon termination, your right to use BoxSafe ceases immediately. We will retain your data for 90 days, during which you may request an export. After this period, data will be deleted except where retention is required by law.

Survival: Provisions regarding intellectual property, limitation of liability, and dispute resolution survive termination of these terms.
